General
What browsers are supported?
The HRMS supports the latest versions of Chrome, Firefox, Safari, and Edge. Internet Explorer is not supported.
Can I use the system on a mobile device?
The interface is responsive but optimized for desktop use. A dedicated mobile app is not currently available.
How many users can the system support?
There is no hardcoded user limit. Performance depends on server resources and database capacity. The current architecture supports hundreds of concurrent users comfortably.
Authentication
I forgot my password. What do I do?
Contact your Admin or HR representative to reset your password. Self-service password reset is planned for a future update.
Why am I being logged out?
Sessions expire after a period of inactivity (configured by the server). This is a security feature. Simply sign in again.
Can I stay signed in permanently?
No. Sessions have a maximum lifetime for security reasons. You will need to sign in again periodically.
Employee Management
Can I delete an employee?
No. Employee records are never deleted. Instead, set their Activity Status to Inactive and update their Employment Lifecycle to Resigned or Terminated.
Why can't I see all employees?
Your visibility depends on your role:
- Admin/HR: See all employees
- Manager: See all employees (read-only)
- Team Lead: Only employees in your led departments
- Employee: Only your own record
Can an employee belong to multiple departments?
No. Each employee belongs to exactly one department at a time.
KPI Management
Why can't I publish a KPI cycle?
Check that:
- You have Admin or HR role
- The department has an assigned KPI template
- There are active, confirmed employees in the department
What happens if I publish a cycle again for the same department?
Duplicate evaluations are not created. Only new employees (added since the last publish) will receive evaluation records.
How is the overall KPI score calculated?
The manager's scores are used with this formula:
Overall % = Σ (Manager Score / 5 × Weight)
What does "Force Close" mean?
Force-closing an evaluation is an HR action that moves an evaluation from Accepted or Disputed status to Completed. This is the final status — no further changes are possible.
Probation Reviews
When is a probation review automatically created?
The system creates a review when an employee's probation period approaches completion (typically at the 3-month mark).
What happens when a probation review is approved?
The employee's record is automatically updated based on the manager's recommendation:
- Confirm → Lifecycle changes to Confirmed
- Extend → Remains Probationary
- Terminate → Lifecycle changes to Terminated, Status changes to Inactive
Data & Exports
What format are CSV exports in?
Standard CSV (comma-separated values) with UTF-8 encoding and a header row. They can be opened in Excel, Google Sheets, or any spreadsheet program.
Can I import data from Excel?
Not directly. Save your Excel file as CSV first, then use the import feature.
What happens if a CSV import has errors?
Valid rows are imported and invalid rows are skipped. You receive a detailed error report showing which rows failed and why.
Roles & Permissions
Can I create custom roles?
Yes. Admin users can create new roles and assign any combination of permissions.
Can a user have multiple roles?
Each user is assigned one role at a time.
What is the difference between Manager and Team Lead?
The main difference is employee visibility. Managers can see all employees (read-only), while Team Leads can only see employees in departments they lead.
