Bank Detail Change Requests

When an employee wants to update their bank details, they submit a change request through their profile. As HR or Admin, you review these requests and either approve or reject them.

Approving a request automatically updates the employee's bank details. Rejecting it notifies the employee with your stated reason so they can correct and resubmit.


Where to Find Pending Requests

Pending bank detail change requests surface in two places:

  1. Employee's Bank Details tab — when you open any employee's profile and go to the Bank Details tab, any pending request for that employee is displayed at the top in an amber panel.
  2. Actionable Items — pending requests appear in your task queue.

Reviewing a Request

  1. Open the employee's profile and go to the Bank Details tab.
  2. The pending request panel shows the requested new values side by side with the current values:

  1. Review the requested changes carefully.
  2. Choose Approve or Reject.

Approving a Request

Click Approve on the pending request panel.

  • The employee's bank details are updated immediately to the new values.
  • The employee receives a notification confirming the change.
  • The request is removed from the pending queue.

Rejecting a Request

  1. Click Reject on the pending request panel.
  2. Enter a rejection reason — this is mandatory and will be shown to the employee.
  3. Click Confirm Rejection.
  • The employee receives a notification with your rejection reason.
  • The request moves to Rejected status and remains visible on the Bank Details tab until the employee dismisses it or submits a new request.
  • The employee's existing bank details remain unchanged.
Writing a helpful rejection reason

Be specific. Instead of "Incorrect information", write "The IBAN format appears to be invalid — please verify and resubmit." This helps the employee correct the issue quickly without needing to contact HR separately.


Directly Editing Bank Details (Admin/HR)

As HR or Admin, you can also edit an employee's bank details directly without going through the request workflow. This is useful for onboarding or corrections that you are making on the employee's behalf.

  1. Open the employee's profile and go to the Bank Details tab.
  2. Click Edit (or fill in the form directly if no details exist yet).
  3. Update the fields.
  4. Click Save.

Direct edits by HR/Admin take effect immediately and do not require approval.


Frequently Asked Questions

Can an employee have more than one pending request at a time? No. The system allows only one pending request per employee at a time. The employee must cancel their existing request before submitting a new one.

What if I need to edit bank details while a request is pending? You can still edit the bank details directly as HR/Admin regardless of any pending request. The direct edit will overwrite the current values, and the pending request will remain in queue (the employee will need to cancel it or you can cancel it on their behalf).

Can I cancel an employee's pending request for them? Yes. From the Bank Details tab, you can cancel a pending request on behalf of the employee if needed.
