KPI Cycles

A KPI Cycle is a time-bounded evaluation period — for example, a quarter or a year. When you publish a cycle, the system generates an individual evaluation for every eligible employee in the targeted departments.

Viewing Cycles

Click KPI Cycles in the sidebar. The list shows all cycles with their name, date range, and current status.

Click a cycle name to open its detail page, where you manage department assignments and publishing.


Creating a Cycle

  1. Click New Cycle.
  2. Fill in the details:

  1. Click Save. The cycle is created in Draft status.

Assigning Templates to Departments

Before publishing, you need to assign a KPI template to each department you want to include in this cycle.

  1. Open the cycle's detail page.
  2. In the Department Assignments section, click Add Department.
  3. Select the department and the KPI template to use for that department.
  4. Click Add.

Repeat for each department you want to include. Different departments can use different templates in the same cycle.

To change a template assignment before publishing, remove the existing assignment and add a new one.


Publishing a Cycle

Publishing is the action that generates evaluations for all eligible employees in the assigned departments. Once published, each eligible employee will receive a notification and their evaluation will appear in their queue.

Eligibility criteria: Only employees with Active + Confirmed status are included. Probationary employees are excluded.

Publishing for a Specific Department

You can publish one department at a time rather than the whole cycle at once. This lets you stagger rollouts if needed.

  1. Open the cycle detail page.
  2. Find the department row in the assignments table.
  3. Click Publish on that row.
  4. Confirm the action.

Evaluations are generated immediately for all eligible employees in that department.

Publishing All Departments

To publish all assigned departments at once:

  1. Open the cycle detail page.
  2. Click Publish All.
  3. Confirm.
Publishing is irreversible

Once a department is published, the evaluations are created and employees are notified. You cannot unpublish a department or remove it from the cycle.


Monitoring Cycle Progress

The cycle detail page shows a progress summary for each published department:

Use this to identify bottlenecks — for example, a large number of evaluations stuck at Manager Review indicates that reviewers need a reminder.


Closing a Cycle

Closing a cycle marks it as complete in the system. Before closing:

  • Ensure all evaluations are in Completed status (use force-close for any that are stuck — see KPI Evaluations).
  • Export the finance KPI data if needed.

To close:

  1. Open the cycle.
  2. Click Close Cycle.
  3. Confirm.

Finance Export

At any point after publishing, you can export a CSV of all evaluation scores for use in payroll or finance reporting.

  1. Open the cycle detail page.
  2. Click Export Finance CSV.
  3. The file downloads immediately with one row per evaluation, including overall score, percentage, and performance flag (PIP / Standard / HiPo).
